Our Promise: We aim to be fair and transparent. While some services involve government processing that cannot be undone, we handle every refund request promptly and professionally. If you have questions before booking, we're happy to clarify exactly what is and isn't refundable.
1. Our Commitment
At Apex Breez Integrated Services, we take pride in delivering high-quality services. However, we understand that sometimes things don't go as planned. This Refund Policy explains our approach to refunds and cancellations fairly and transparently.
We distinguish between refunds for our service fees and costs already paid to third parties (government fees, domains, hosting). We aim to minimize disputes by being clear about what's refundable before you commit.

3. Business Registration Refunds
Business registration involves submitting documents to government agencies (RGD, GRA). Once we submit your application, the process is considered started and government fees become payable. Because we act as your intermediary with these agencies, the following policy applies:
Important: Government processing fees paid to RGD, GRA, or other agencies are strictly non-refundable. We have no control over government processing times, rejections, or policy changes.
- Before submission to government: If you cancel before we submit anything to a government agency, we will refund 100% of our service fees. Any third-party costs not yet incurred will also be refunded in full.
- After submission to government: Once your registration has been submitted to the Registrar General's Department or Ghana Revenue Authority, our service fees become non-refundable. Government fees already paid cannot be recovered.
- If registration is rejected by RGD: If the RGD rejects your application due to name unavailability, we will assist with an alternative name submission at no extra charge for our service. However, a new government fee will apply for the re-submission.
- If you provided incorrect information: If a registration fails because of inaccurate details you provided, you will be responsible for any additional fees to correct and resubmit.
4. Website Development Refunds
Website development is a progressive service where work is completed in phases. Our refund approach for website projects:
- Before development begins: If you cancel before we start coding or designing, you will receive a full refund of all fees paid to Apex Breez.
- During development: If you cancel mid-project, a partial refund will be calculated based on the percentage of work completed at the time of cancellation. Work already delivered (designs, code, content) will be billed at the agreed project rate. Any third-party costs already incurred (domain, hosting, stock photos, etc.) are non-refundable.
- After delivery and approval: Once the final website has been delivered to you and you've approved it, the project is considered complete and no refund is available. Minor post-launch tweaks are covered under our standard support period, but major new features would require a new project agreement.
- Domain registration: Domain names, once registered, cannot be refunded as domain registrars do not offer refunds. You own the domain for its registration period.
- Hosting fees: Hosting packages are non-refundable once activated. You retain the hosting for the paid period regardless of usage.
5. Accounting System Setup Refunds
Accounting system setup involves consulting, configuration, and data migration. Due to the specialized and technical nature of this service:
- Before setup begins: Full refund available if cancelled before we start configuring your system.
- After setup has started: Service fees become non-refundable once the configuration process has commenced. This is because setup involves significant upfront consulting and technical work.
- Software licenses: Any software licenses purchased on your behalf (QuickBooks, Xero, etc.) are non-refundable per the software provider's policy.
- Data migration: If we've already migrated your financial data into the new system, the migration portion of the fee is non-refundable.
6. Business Advisory Refunds
Business advisory services typically involve consultations, analysis, and strategy development. Our refund approach:
- Before sessions begin: Full refund if cancelled before the first scheduled session.
- After sessions begin: A partial refund may be offered based on the number of sessions already delivered. Completed sessions (where advice has been provided) will be billed.
- Report deliveries: Once a consulting report has been delivered to you, that portion of the fee is non-refundable.
- No-shows: If you fail to attend a scheduled session without 24-hour notice, that session is considered delivered and will be billed.
7. Non-Refundable Items
The following are strictly non-refundable under all circumstances:
- Government processing fees (RGD, GRA, Social Security, etc.)
- Domain name registration fees
- Web hosting fees (annual or monthly)
- SSL certificate fees
- Software licenses (third-party accounting software)
- Stock photos, fonts, or graphics purchased for your project
- Any costs incurred on your behalf before cancellation
8. How to Request a Refund
If you believe you're eligible for a refund, please follow these steps:

9. Refund Timeline
- 0-2 days: Submit your refund request
- 1-5 business days: We review and respond
- 6-10 business days: Refund decision communicated
- 10-14 business days: Refund processed and funds returned
Refund processing times depend on your payment provider (Paystack, bank transfer) and are beyond our direct control.
